Webhooks and integrations

Updated · SubtleForms 2.3.3

Send a form submission to an API endpoint, or connect a form to one of the supported provider integrations.

Plan availability. Free includes basic, single-send webhooks. Pro and Agency add managed retries and provider integrations. A receiving endpoint or provider account is configured separately.

Add a webhook action

  1. Open your form in SubtleForms and choose Settings.
  2. Expand Notifications & actions and choose + Send to API.
  3. Enter the receiving URL and choose the HTTP method supported by that endpoint. The webhook action supports POST, PUT, and PATCH.
  4. Use the full submission payload, or configure a custom JSON payload. Add request headers if your receiving service requires them.
  5. Save the draft or update the live form. Test with sample answers and check the receiving service before using the connection for live submissions.

Notifications & actions is the starting point for email and API actions.

Choose the payload

The full payload sends the submission data. A custom payload must be valid JSON. Match the receiving service’s expected field names, authentication, and content type. Webhook requests use JSON by default.

For a custom endpoint, an example JSON structure might be:

JSON · EXAMPLE PAYLOAD
{
  "source": "website-contact",
  "event": "new-enquiry"
}

Use the merge-tag controls and fields supported by your installed version when inserting answers. Submit sample data and inspect the actual received body; the receiving service’s schema is the contract your payload needs to satisfy.

Delivery and retries

Webhook delivery is queued through WordPress background jobs. Free tries once. With the managed webhook capability in Pro or Agency, failed deliveries can retry according to the Webhooks extension settings.

Check the entry’s action history and the receiving service when diagnosing a delivery. A successful form submission alone does not establish that the destination accepted the webhook. WordPress scheduled jobs also need to run for queued deliveries to be processed.

Provider integrations

Pro and Agency include integrations for Mailchimp, Brevo, Kit, HubSpot, and Zapier. Enable and configure the relevant integration in the SubtleForms settings, then map the form answers to the provider’s fields. Lists, audiences, authentication, and required fields depend on the provider.

Test the connection

  • Use a test endpoint or a clearly marked sample contact.
  • Confirm required answers reach the intended destination and fields.
  • Check authentication failures, rejected payloads, and delivery history.
  • Repeat the test after changing the form’s field keys or destination mapping.
